Hamilton Specialist Referrals (HSR) is a state-of-the-art, independent orthopaedic and neurology specialist veterinary referral hospital, five minutes from J4 of the M40, Buckinghamshire. We offer the most cutting-edge investigations and treatments into orthopaedic and neurological disease in small animals. As part of our structured growth plan we are now looking for an experienced full-time Clinical Administrator to join our friendly and efficient Operational Support team.

This role reports directly to the Operational Support Manager and will work as part of the Operational Support Team, alongside another experienced Clinical Administrator. This role would suit an RVN looking for a change of career or an experienced administrator with a background in the veterinary industry. The role consists of a 40-hour week with varying 8-hour shifts to cover Monday-Friday, 7am – 6pm.

Main Roles and Responsibilities


· Being the ‘go to’ administrator for Dr Michael Hamilton and fellow Specialists

· Providing administrative support and some PA responsibilites to clinical team members when required

· Ensuring all referral letters are typed, checked, distributed and attached to patient records in a timely and efficient manner

· Ensuring that other team members are suitably trained in this area for times of absence.

· Practice Management Software maintenance and liaison with relevant external providers

· Creating and maintaining accurate manuals & protocols alongside the clinical team

· Ordering & purchasing supplies for the clinical team


· Providing administrative support to operational team members when required

· Assisting the Operational Support Manager with reports and data quality control

· Assisting the Client Care Team with processing of insurance claims

· Chasing insurance claims older than 30 days

· Assisting with debt chasing/collection

· Assisting with CPD evenings at HSR

· Assisting with general reception and admin duties as required



· Strong computer skills and comfortable working with a variety of office systems;

· Proficiency in MS Office (Outlook, Excel and Word, in particular);

· Excellent time management skills and the ability to prioritise workload;

· Strong organisational skills;

· Experience in maintaining clinical protocols and compliance

· Experience in the veterinary industry, preferably clinical


· High attention to detail, accuracy and ability to follow through on tasks; starter-finisher

· Emotionally Intelligent with high level of self-awareness and resilience

· Strict confidentiality

· A positive attitude and the ability to work efficiently in a fast-paced environment while maintaining high quality of work
